Terms and Conditions
Please take time to read the following terms and conditions carefully. They are the basis of the contract between Camp Crusoe Ltd. and the parent/guardian registering participants for Camp Crusoe sessions. By registering a child on to a session at camp you agree to these terms personally and on behalf of the participant you register, you confirm that you are the parent or legal guardian of the child, and that the details of your legal relationship with the child as specified in the camper registration are true and accurate.
A contract will exist between us when we have taken your booking and deposit. You will then automatically receive a confirmation/invoice detailing exactly what has been booked. If you think anything is incorrect please contact us straight away. All correspondence will be with the person named on the confirmation invoice who accepts the following terms and conditions on behalf of all participants they registered. The contract between us is governed by English Law and any dispute will be dealt with under the exclusive jurisdiction of the courts of England and Wales.
Payment
The camper fee includes all activities, instruction, specialist equipment, accommodation and full board for the duration of the session booked. There are no added supplements. Accompanied travel can be selected for an additional fee.
The balance of your account is payable in line with the details of the payment plan as selected at registration. If payment is not made by the due date, we reserve the right to advise you of the cancellation of your camp booking and make a cancellation charge detailed below. Full payment must accompany bookings made from 1st June.
Changing your booking
If, after you have confirmed your booking, you wish to make any alterations, Camp Crusoe will happily do so where possible at no extra cost up 7 days prior to the commencement of your booked session. If an increase in cost due to the requested change is incurred we will ask you to confirm you accept these costs and the requested changes shall be made once payment has been received.
Any such change may be telephoned to us in the first instance but must be confirmed in writing immediately thereafter.
if a major amendment is requested less than 2 weeks prior to the starting date of the session, we reserve the right to treat your request as a cancellation and charge the appropriate cancellation fee (as detailed below).
If we cannot make the change or the consequences of making the change are unacceptable to you, you may want to cancel your booking (see below; cancelling your booking).
Please note that registrations are not transferable.
If we are forced to make changes
Camp Crusoe will do its utmost to provide all of the arrangements that have been confirmed, however cannot guarantee that there will be no changes to the camp and must reserve the right to alter or cancel any activities, accommodation or other arrangements, including accompanied travel, if operational, weather or other considerations so dictate.
If we have to make a major change to your session we will offer a suitable alternative if available or 100% refund if we are not able, in our opinion, to offer an alternative that is sufficiently comparable unless the change is due to circumstances beyond our reasonable control, including but not limited to war, riot, civil commotion, act of God, industrial dispute, Government action, epidemic, disease, adverse weather or natural disaster.
Any refund will be credited back to your original payment method.
Cancelling your booking
In the event you cancel your booking, for whatever reason, cancellation fees will apply as follows:
Within 14 days of booking - full refund, subject to a 3% handling and transaction fee
Up to 50 days prior to session commencement - Initial deposit only retained
49 to 30 days prior to session commencement - 30% of the total price
29 to 15 days prior to session commencement - 50% of the total price
14 to 0 days prior to session commencement - 100% of the total price
All cancellations need to be confirmed to us in writing as soon as possible by emailing hello@campcrusoe.com. Please note that cancellation fees are calculated from the date on which we receive written communication and therefore we recommend that you contact us as soon as you are aware of the need to cancel the camp. If a booking has been cancelled that was moved from an earlier session then the original session start date shall be used to calculate any cancellation fee.
Any refund will be credited back to your original payment method.
If we are forced to cancel
If we are forced to cancel your session due to foreseeable factors that are within our control then a full refund shall be made. In this instance our liability to you shall not exceed the price you have paid for that session and any extra services, regardless of other costs incurred.
In the event of circumstances beyond our reasonable control, including but not limited to war, riot, civil commotion, act of God, industrial dispute, Government action, epidemic, disease, adverse weather or natural disaster, we reserve the right to cancel camp. We strongly recommend that all campers have curtailment and cancellation holiday insurance to cover such instances.
We reserve the right to cancel your booking if you do not make any payment to us when it is due or if you withhold any important information from us in your registration. In both cases, any payment made for the booking will be retained by us as compensation for the net costs incurred.
Our responsibility
Camp Crusoe are responsible to you for foreseeable loss and damage caused by us. If we fail to comply with these terms and conditions, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking this contract or our failing to use reasonable care and skill, but we are not responsible for any loss or damage that is not foreseeable.
Camp Crusoe accepts responsibility for those elements of the camp arrangements which are foreseeable and under our direct control, and for the acts and/or omissions of our employees, subcontractors and suppliers. We do not exclude or limit in any way our liability to you where it would be unlawful to do so, including liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors; for fraud or fraudulent misrepresentation; or for breach of your legal rights.
We are not responsible for delays outside our control. If our supply of camp is delayed by an event outside our control then we will contact you as soon as possible to let you know and we will take steps to minimise the effect of the delay. Provided we do this we will not be liable for delays caused by the event.
We provide no warranty for goods, materials, equipment or services manufactured or supplied by third parties, but shall use our reasonable endeavours to ensure that any warranties granted by third party manufacturers or suppliers are assigned to you, where required.
Your responsibility
It is the responsibility of the legal parent/guardian to advise Camp Crusoe of each individual participant’s needs in our registration form during booking or in writing if changes occur in this information prior to their session starting. You will also be required to confirm that each participant registered on your booking can undertake responsibility for their own personal care during camp.
It is also the responsibility of the legal parent/guardian to fully advise Camp Crusoe of any illness, disability, social, dietary, medical or behavioural additional needs that their child currently has, or has recently experienced, which might affect them or other guests during camp. We may request written confirmation confirming the suitability of the camp for your child with particular reference to such considerations as social compatibility, physical access, successful participation and health and safety. We will naturally treat any personal information sensitively and respect confidentiality. We are committed to making camp as accessible to as many guests as possible, however, very occasionally we may not be able to provide the service required and will refund any deposit paid.
By completing your booking, you are consenting to your child participating in activities at camp (except where specifically notifying Camp Crusoe in writing that they are not to participate) and acknowledging that some or all of such activities may, by their nature, involve some degree of risk to participants. You understand that Camp Crusoe does not seek to avoid or restrict any liability for death or personal injury arising out of the negligence of it's employees, contractors or agents, however also acknowledge that injuries can occur by accident in circumstances which are not due to the negligence of such employees, contractors or agents, and accept that neither Camp Crusoe nor its employees, contractors or agents has any liability to me or my child in respect of any such injury, or any loss or damage to their property arising during or arising from an activity.
Attendance at camp involves activities run by third party providers (eg high ropes courses, water sports etc). By completing your booking, you are consenting to your child taking part in such activities and agree and consent to us signing on your behalf any waivers or disclaimers as may be required for third-party activities.
Personal property
Campers’ personal property, including baggage, is your responsibility at all times, unless any loss or damage is due to our negligence or failure to carry out our responsibility. Please note that camp is not the place to bring mobile phones, expensive watches, jewellery, photographic equipment or other precious items.
We are not responsible for any property left at the camp by campers. While we will make all reasonable efforts to reunite campers with lost property, any such property if not claimed and collected by you within 7 days of the end of camp may be disposed of.
We strongly recommend that all campers have their own travel insurance.
Conduct and wellbeing
It is a condition of attending camp that every participant complies with our camp rules, as explained to campers upon arrival. If a participant fails to adhere to the camp rules this may result in his/her participation in the camp being terminated immediately without refund, being sent home at your expense.
Behaviour deemed inappropriate may include (but is not limited to):
Under age buying and consumption of alcohol
Leaving the site unless accompanied by a member of our staff
Suspected involvement with illegal drugs
Smoking and using E-cigarettes or Vaporisers outside of designated areas and smoking by under 16s
Entering accommodation used by the opposite sex
Theft or illegal activities
Threatening behaviour, bullying, offensive or insulting language to other campers, staff or any other person at camp
Anti social behaviour affecting others enjoyment of camp
Leaving rooms during the night without a legitimate reason
Deliberately tampering with safety systems (e.g. CCTV, Fire Alarms)
Misuse of mobile devices
Sharing or viewing inappropriate material or abuse of social or other media
Damaging other guests property
Further to the this, we are entitled to exercise a wide discretion when deciding whether participants should be excluded from any activity on the grounds of safety or unsuitability, and we reserve the right to search the bags and personal property of participants in circumstances we consider to be reasonable.
You shall be liable for any and all costs, charges, expenses and liabilities that might arise in respect of damage to any of our property where the participant (acting alone or with others) has caused loss or damage to our property or the property of any other person (fair wear and tear excluded).
While the participant is at camp, we shall do all that is reasonable to safeguard and promote their welfare and safety. We shall respect their human rights and freedoms but shall balance them with the lawful needs and rules of our camp and the rights and freedoms of others. We may disclose information to third parties on a need-to-know basis where necessary to safeguard or promote participant’s welfare or to prevent a risk of serious harm to them or others at camp.
